AI Workflow WIRE Method

Most AI workflows fail not because the technology is wrong, but because they skip the four non-negotiable stages that separate a demo from a durable system. The industry has conditioned people to think AI automation is a build-and-ship game. WIRE challenges that.

 

Each AI workflow we build goes through the WIRE method because creation is only 25% of the project - the 75% nobody talks about is where the real expertise lives.

The WIRE Method

Most automations fail for a simple reason: someone built the technology before understanding the business.

Not the process they wrote down. The real one. The one that lives in a group text, a voicemail nobody checked, and a handwritten note on the job site that got rained on.

When an automation gets built on top of a broken or misunderstood process, it automates the problem. You get a faster, more consistent version of the same mess.

WIRE is how we make sure that doesn't happen.

W stands for Workflow Design. 

I stands for Intelligent Testing. 

R stands for Responsible Implementation. 

E stands for Embedded Training.

Each one is required. Skip any of them and you're running an experiment on your business.

Here's what each one means in plain language.

W - Workflow Design

W: We figure out how your business actually works before we build anything. 

Not how it's supposed to work. Not the process you described to a consultant three years ago. The real version — including who actually sends the quote, how long you wait before following up, whether that follow-up is a call or a text, and what happens when it falls through.

(Usually: nothing. The lead goes cold.)

We do a workflow audit before we touch any technology. We sit with you, or your office coordinator, and map the actual steps in the actual order they happen. That includes the workarounds, the things that "usually work," and the steps that only one person knows how to do.

This matters because a quote follow-up automation for an HVAC company using Jobber looks completely different from one for an electrical contractor sending proposals out of Gmail. The trigger is different. The timing is different. The fallback is different. Generic doesn't fit.

Build on the wrong foundation and you'll spend more fixing it than you would have spent doing it manually in the first place.

I - Intelligent Testing

I: We run it through real situations before you ever touch it.


Once the automation is built, it doesn't go live. It gets tested.


Not a quick check to see if the buttons work. We put it through real scenarios: What happens when a customer submits a service request at 11pm on a Friday? What if your scheduling tool is slow to respond that day? What if an email bounces? What if two requests come in at the same time?


We're looking for the moments where it would make a wrong decision — or no decision at all. Those are the moments that cost you a job or a customer relationship if they happen in the field.


Nothing goes live until we're confident it's going to behave correctly. You're not the test case.

R - Responsible Implementation

R: When it breaks at 6am on a Tuesday, there's a plan.


Automations can break. A software update changes something. A connection between two tools drops. Something that worked fine last Tuesday stops working this Tuesday.


Your jobs don't stop because software failed. Neither should your business.


Before anything goes live, we build in a fallback — a clear, simple way for your office or job coordinator to step back in and handle the process manually while we fix the issue. No scrambling, no waiting on hold with a tech support line, no work that just doesn't happen.


We also show you what to watch for. Not a long checklist. Just the two or three signals that tell you something is off, so you can flag it before it becomes a problem.

E - Embedded Training

E: Your people know how to run it, not just use it.


This is the part that separates a lasting automation from an abandoned one.


When we're done, the person handling your scheduling, billing, or job coordination will understand exactly what the automation does, what it's watching for, and what to do if something doesn't look right. Not from a PDF manual. From actual training, built around how they work.


They'll know how to check it. They'll know when to flag something. And if anything ever needs to change, they'll know where to start.
